A Day in the Life:
The Administrative Assistant provides professional administrative support to Cascadia Grain Terminal, with a primary focus on supporting Maintenance operations while assisting other terminal teams as required. This role is responsible for office administration, payroll and accounts payable processing, records management, reporting support, and coordination with internal and external stakeholders to ensure efficient and effective terminal operations.
What You’ll Be Doing:
- Serve as a primary administrative contact for employees, contractors, visitors, and external stakeholders.
- Maintain electronic and hard-copy records, files, and documentation in accordance with company policies and retention requirements.
- Process employee timekeeping and payroll information accurately and confidentially.
- Support accounts payable activities, including invoice processing, voucher preparation, purchase card reconciliations, and PO/invoice matching.
- Coordinate purchase orders, service agreements, and contract documentation, and assist with discrepancy resolution.
- Prepare, format, and distribute reports, spreadsheets, correspondence, and other business documents.
- Compile operational, maintenance, payroll, purchasing, and workforce data to support management reporting and decision-making.
- Coordinate travel arrangements, accommodations, visitor logistics, and other administrative activities.
- Support office supply management, service procurement, and general office administration.
- Assist with process improvements, system implementations, testing, training, and document standardization initiatives.
- Collaborate with Maintenance, Logistics, Operations, and Corporate teams to support terminal objectives.
- Ensure confidentiality and compliance with company policies, procedures, and safety standards.
- Perform other duties as required.
Skills/Experience Requirements:
- Grade 12 diploma or equivalent.
- Administrative, Business Office, or Office Administration certificate preferred.
- Minimum of two (2) to three (3) years of related administrative experience.
- Equivalent combinations of education and experience will be considered.
- Proficiency with Microsoft Office Suite.
- Experience with payroll, timekeeping, accounts payable, purchasing, and business management systems (Dayforce experience is an asset).
- Strong data entry skills with exceptional accuracy and attention to detail.
- Experience maintaining electronic records, document control systems, and records retention programs.
- Experience processing invoices, purchase orders, accounts payable transactions, and purchase card reconciliations.
- Ability to prepare reports, spreadsheets, presentations, and other business documentation.
- Knowledge of office equipment, administrative systems, and business technologies.
- Understanding of information security, confidentiality, and records management best practices.
- Strong organizational, administrative, and document management skills.
- Excellent communication, customer service, and stakeholder relationship management abilities.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong analytical and problem-solving skills.
- Ability to work independently and collaboratively within a team environment.
- Experience with maintenance management systems, payroll systems, or enterprise business applications is considered an asset.
