Operations Executive

The position is a multi-tasks role which plays an important part in providing support to the Execution BBS team (Share Service Centre) in Mohali, India and customers based in Indonesia. The Operations Executive is responsible for the Purchase & Sales contracts settlements and arrange documents signing including dispatch of documents for presentation to banks and customers.

Accountabilities : 

• Coordinating with BBS Execution team (Shared Service Centre) in Mohali, India and Rotterdam Execution team for documents finalization and presentation as required.
• Liaise and coordinate with Regional Office Execution team in Singapore for documents delivery as needed at destination in Indonesia.
• Monitor the shipper’s draft Prior Notice applications before loading and ensuring the Prior Notice declaration within two weeks for custom import clearance.
• Monitor documents status from origin and Singapore then present to the buyers for custom for clearance within 14 days prior vessel’s arrival and make sure appoint the agent and stevedore for cargo discharge as per schedule without delay.
• Appoint a surveyor or insurance agent to inspect the cargo in case of damage or quality issues and support BBS Execution team to submit a claim to the insurer and monitor the payments.
• Coordinating with BBS Execution team to issue invoices and Delivery Order for local distribution and monitor the customer’s payment upon due date.
• To instruct the service provider to release the cargo for collection by the customers at the warehouse on daily basis.
• Maintain the status of the cargo in the system and review / verify the stock inventory monthly basis.
• Coordinating with the customers and work closely with the custom forwarding, surveyors, stevedores, and agents in Indonesia.
• Coordinate with BBS Execution and Commercial teams to meet their requirements to avoid any delays, problems, concerns and/or complaints.
• Reporting/filing on a monthly/annually basis.

Requirement 

• Diploma in Business Administration/Shipping/Banking and Finance or any disciplines.
• Minimum 5 years of working experience in the commodity logistics or shipping industry or trade services.
• Ability to communicate effectively and work efficiently.
• Good interpersonal skills, positive thinking, reliable, enthusiastic and team player.
• Knowledge of Incoterms, UCP 600 and Collection URC 522
• Knowledge of SAP processes if any.
