Responsible for supporting the preparation and coordination of shipping documentation to ensure accurate and timely execution of daily operational activities. This role focuses on processing invoices, preparing shipping documents, and maintaining proper documentation in line with customer requirements and regulatory standards.

The role works closely with internal and external stakeholders, including customers and certification bodies, to ensure smooth shipment processes, timely document submission, and clear communication on shipment status. In addition, the role supports issue resolution, maintains databases and reports, and contributes to process improvements to enhance operational efficiency and accuracy.

 

Main Accountabilities :

1. Shipping Documentation & Processing

  • Prepare and process shipping instructions to agents and shipping lines.
  • Prepare complete and accurate sets of shipping documents, including invoices, packing lists, and supporting certificates (e.g., COA, Certificate of Origin, ingredient and manufacturing certificates).
  • Ensure all documents meet customer requirements and regulatory standards, including legalization where required.

 

2. Letter of Credit (L/C) Handling

  • Review Letter of Credit (L/C) terms and highlight discrepancies.
  • Support coordination with Customer Service to arrange necessary amendments.

 

3. Document Dispatch & Customer Support

  • Prepare Bills of Exchange for L/C and DP transactions and arrange document dispatch to customers.
  • Share shipment updates and provide scanned documentation to customers in a timely manner.
  • Keep customers informed of shipment schedules and any delays.

 

4. System & Reporting (SAP / STS)

  • Generate reports from SAP to support shipment processing and file creation.
  • Update Shipment Tracking System (STS) with documentation status, insurance, and dispatch details.
  • Maintain accurate records in systems and ensure proper document filing.

 

5. Coordination with Internal & External Parties

  • Liaise with shipping agents, freight forwarders, external labs, and certification bodies for documentation and shipment requirements.
  • Coordinate with internal teams (e.g., QC, Customer Service) to ensure timely submission of samples and receipt of required reports.

 

6. Online Applications & Compliance

  • Apply for Certificates of Origin and other regulatory documents via online systems (e.g., MITI).
  • Support insurance applications for shipments, including manual processing where required.

 

7. Billing & Verification

  • Verify billing invoices from shipping agents and forward for approval.
  • Ensure accuracy of documentation and cost-related details.

 

8. Filing & Documentation Control

  • Scan, organize, and file all shipping and export-related documents systematically.
  • Ensure proper record-keeping for audit and compliance purposes.

 

9. Continuous Improvement & Issue Support

  • Support resolution of documentation or shipment issues and escalate when necessary.
  • Contribute to process improvements to enhance accuracy, efficiency, and turnaround time.

 

 

Requirement  :

 

  1. Diploma or Bachelor’s Degree in Logistics, Supply Chain, Business Administration, or a related field
  2. 1–3 years of experience in shipping, export documentation, or logistics operations (fresh graduates with relevant internship may be considered)
  3. Basic knowledge of shipping documentation and export processes
  4. Familiarity with SAP/ERP systems and Microsoft Office applications
  5. Good attention to detail with strong coordination and communication skills
